Using the Documentation Download Template for non-HTML Pages Create and use a documentation download page when a list of non-HTML files are needed. For example, Word, PowerPoint, Excel and PDF files can be accessed via documentation download pages. Consolidating documentation into a single location also simplifies navigation to related documentation. Step 1. When creating a new page, select the Documentation Download template. Once the page is created, open the page.
Step 2. Select 'Add media element' and click on 'Create and Connect Page.'
Select the 'Media Container' template.
Enter page headline which will be the label of the non-HTML (Word, PowerPoint, PDF, etc.) file. Click OK.
The media element page will look like this.
Step 3. Utilize the reddots to add description, link to the documentation (which will add it to the RedDot server) and select the icon that represents the documentation file format. Screen captures of those steps follow. Use this field (first reddot under label) If additional description information is needed.
Step 4. Use the 'link to file' reddot to upload the file to the RedDot server. There are two methods for doing this: 1) If the file has not been uploaded to the RedDot server, use the 'select the file from local file system' option. Navigate to the file on your local drive and select the file. 2) If the file already exists on the RedDot server, enter search criteria to locate the file. The example below demonstrates the use of the asterisk * which functions as a wildcard. Search results will then be displayed. You can also:
Step 5. Click on the 'Change icon' reddot. Here you will select the icon that represents the type of file that is linked to and available for download. Before selecting the image, enter an 'Alt attribute' that matches the file extension, i.e. .doc, .pdf, .ppt, .exe, .xls, etc. Click on Select Image.
Step 6. Click on the 'Change date' reddot to reflect the accurate date of the documentation (which could be different than the date it is placed online.)
Step 7. Upon completion of adding non-HTML files, open the documentation download page that was originally created and complete the mandatory informational items and assign a file name (through Actions menu.) Step 8. Submit all pages to workflow. |
