Newsletter Submission Guidelines

In order to ensure that our online newsletter is valuable and timely, the following guidelines have been compiled for staff members making a contribution. If you have any questions or comments regarding these guidelines, please contact the AIS Writer/Editor.

  • The goal is for the newsletter to be published by noon on the first Thursday of each month, with the understanding that the schedule may need to be adjusted slightly during certain months because of holidays or other scheduling conflicts. In those instances, the Writer/Editor will ensure that the content providers still have adequate time to prepare submissions.
  • The Writer/Editor will solicit the content for the newsletter each month, approximately two weeks prior to when the content is due.
  • If the Writer/Editor has not yet received the requested content, then he will send a reminder e-mail a couple of days prior to the due date.
  • The feature story content will be based on the Newsletter Schedule of Topics.
  • Feature stories that are not scheduled will be considered for publication; however, they will not automatically be published in the next newsletter since the schedule is largely pre-determined. The Writer/Editor will welcome ideas for feature stories that are not on the schedule, but it would be best to check with him before writing the story so that a publication schedule can be determined prior to the work being done.
  • Content providers are solely responsible for their content, with the content being as long or as short as they deem appropriate. Please keep in mind, though, that the reading audience is composed of those who do not know the information as well as you; please write the content for a general - not technical - audience who has little knowledge of the topic.   • The Writer/Editor will copy edit the content before publication.
  • The content can be sent as a Word attachment or in the body of an e-mail.
  • The completed newsletter is always available on the Reaching Out page.
  • Please share the link with anyone who you feel might be interested.

Note: It is important that the Writer/Editor receive the content by the due date; otherwise, the newsletter publication date might have to be delayed. Content providers should let the Writer/Editor know as soon as possible if they will not be able to meet the assigned deadline so that any adjustments to the schedule can be made.
