Central ID Repository Function Access All requests for the functions below must be submitted by your Access and Security Representative (ASR) to the Administrative Support Center: ais-support@psu.edu via electronic mail. CIDR functions can only be used by University employees and where noted, require a SecurID to be used.
ASR Instructions 1. SecurID information available at: http://ais.its.psu.edu/access/securid.html. 2. The "Browse Alpha Lookup" function PSIALPHA access is automatically provided to users who currently have access to either the AMIA screen in ISIS or the BALU screen in IBIS. 3. Access to the functions "retrieve PSU ID by SSN" and "retrieve PSU ID by Digital ID" (PSIGTIDS, PSIGTIDD and PSIGTNM respectively) is automatically provided to users who currently have an IBIS EASY profile and access to WAPP and other forms for hiring, as well as those who use AMIA in the ISIS system. If you have staff that will need need these functions and do not currently use IBIS or ISIS, you should request access to them. 4. The "Assign PSU ID" function PSIASNID access is automatically provided to users who currently have an IBIS EASY profile and access to WAPP and other forms for hiring. If you have staff that will need to assign PSU IDs to affiliation codes other than new employees, an affiliate code needs to be requested, if this has not already been done. The affiliate code request includes listing users of the affiliate code to assign PSU IDs. To request a new affiliate code and specify users of it, see the Web page at: https://www.fis.psu.edu/webaccess/datasteward/RequestToAddAffiliationCode.htm. 5. Functions that "retrieve SSNs" require a brief statement indicating the department name, users who need this, specifically why access to SSNs is needed and what will be done with them once they are retrieved. In general, SSNs should only be used for reporting to external agencies because most Penn State transactions will use the PSU ID. Initial approval will be granted by the data stewards with subsequent approval done by the Privacy Officer to confirm the department will be properly securing the SSNs on their PCs and network. 6. All requests except for the affiliate code request mentioned in Step 3, should be made via electronic mail to the AIS Support Center at: ais-support@psu.edu by the Access and Security Representative (ASR). The SUBJECT of these e-mail requests should be CIDR function request and the text should list the CIDR function Access Paths desired and the user ids that access to these is being requested for. Questions about this can be directed to ssnteam@psu.edu or to ais-support@psu.edu. See the example below.
E-mail to: ais-support@psu.edu Subject: CIDR function request Please provide access to the following CIDR access paths to the users listed with each: PSIALPHA PSIGTIDS ** Don't forget that functions retrieving SSNs require additional information as specified above. |
